Handle refunds

Know where to start a routine refund, when the refund link appears, and how to reconcile it afterward.

Refunds

The Refunds section is the easiest place to cancel or refund an order — it groups orders by status and shows the right action. You can also start routine refunds from order detail or the Orders Queue refund entry points. Payouts & Reports can help you reconcile what happened later, but it is not the place to do everyday cancellation work.

Refunds can take time to settle. Some provider states may need review before the refund is fully resolved.

  2. 2Use Cancel for pending or ready orders when the order should stop before fulfillment.
  3. 3Use Issue Refund from an eligible completed order when the refund link appears.
  4. 4Complete the refund flow and then use Payouts & Reports later for reconciliation.

What to expect after a refund

Refunds are payment events, so the final provider state may not change instantly. Keep order notes and buyer communication clear while the refund settles.

A full refund returns the buyer’s remaining payment, including any buyer-visible VibeKitchen service fee and customer tax. A partial refund can return items, delivery, and the related customer tax, but retains the service fee. The refund preview shows those components before you confirm.

If the refund preview cannot prove a safe component allocation, the confirm button stays disabled. Do not start a second refund; retry the existing provider result or contact VibeKitchen support when the screen says review is required.

Stripe’s original processing fee can remain your cost unless Stripe credits it. VibeKitchen separately reconciles customer tax and any application-fee amount that must be returned.

Refunds reduce your earnings figures automatically. The deduction lands in the period when the order was paid, so a refund issued today can lower an earlier week or month on the Earnings page.

If you cancelled an order before fulfillment, stock or capacity may be restored depending on how the order was created and paid. If you are unsure, check the listing before sharing it again.
